Integrating case and document management
in DICTU’s RijksZaak platform

To simplify the IT landscape of central government agencies, DICTU developed RijksZaak, a platform that bundles case data, processes, files and interaction in one system. NLX integrated a system to ensure case management and digital file and archive creation.

RijksZaak is based on Pega, a system for case management. However, Pega is less suitable as a document management system (DMS). Governments have to comply with the Archiefwet so it’s crucial that their files are organised and accessible as required. With XPROCESS, NLX offers the solution to combine Alfresco, a system for document, file and archive management, with Pega’s case management system. XPROCESS takes care of this link without the final user noticing anything at the front end.

Dienst ICT Uitvoering (DICTU or ICT Implementation Service) is one of the largest IT service providers within the Dutch government. At first, it focussed on the Ministerie van Economische Zaken en Klimaat (EZK or Department for Economic Affairs and Climate Policy), the Ministerie van Landbouw, Natuur en Voedselkwaliteit (LNV or Department for Agriculture, Nature and Food Quality) and their respective executive agencies. RijksZaak makes it possible to design a process flow around a single central case, such as an inspection or permit application. A major advantage is that all information about the processing of a case is linked and accessible to all those involved. RijksZaak also supports the digital archiving process to ensure compliance with the Archiefwet.

Governments have to comply with the Archiefwet so it’s crucial that their files are organised and accessible as required. This means that digital archives should be managed differently. NLX was able to help us with that.
